Mountain Humane (in Hailey, Idaho) is on a mission to enrich the quality of life in our community by connecting animals and people. The Development and Stewardship Coordinator is responsible for coordinating Mountain Humane’s donor database management, donor research, stewardship, paver program, grant tracking and summer gala support. This position is responsible for entering donor and gift information, and sending timely thank you and tax acknowledgments for all donations. In addition, this position will support internal and external “customers” and coordinate the event space rental calendar, contract agreements and collection of fees. This position will report to the Director of Development. This position will be in the public eye and must always represent the organization and our mission appropriately, positively, and professionally.

Minimum of a Bachelor’s degree or equivalent work experience in an office environment, preferably in the non-profit sector.


Must demonstrate exceptional verbal and written communication skills, and be able to communicate about the organization and mission persuasively

Must have strong administrative skills, be highly organized, motivated and remain flexible under pressure

Must be highly computer proficient, knowledge of Microsoft Word, Excel and experience with database programs

Relentless attention to detail

Should exhibit a positive attitude, common sense, flexibility, and teamwork with ability to exercise independent judgment


Development Administration

  • Enter all donations, adoptions, volunteers and other information in donor database. Retrieve donation information from multiple sources several times a week to ensure timely gift entry (including shelter software, website donations, mailed in gifts, etc.)
  • Send timely acknowledgement letters for all gifts within 2-3 business days of receipt
  • Perform database maintenance and clean-up as needed, including wrong addresses, duplicate entries, etc.
  • Check obituaries and update databases needed
  • Enter summer benefit transactions including ticket, cash and in-kind donations, sponsorships, and auction purchases
  • Enter auction and other summer benefit items in separate event database, and execute all database-related aspects of the benefit
  • Work with Development Director to regularly update thank you letter language to stay fresh and current, proofread everything to ensure proper grammar, spelling, and correct donor information


  • Implement the donor stewardship strategy as outlined in the development plan, to enable meaningful recognition and engagement of individual and business donors, including in-kind supporters
  • Make stewardship calls, hand-written cards, and other follow-ups, speaking directly with donors to thank them for their gifts and answer questions about the organization
  • Hand write notes to recipients for donations made in honor or memory
  • Track birthdays and other significant events for donors and coordinate cards for these special occasions
  • Create and implement regular plans to re-engage lapsed donors
  • Regularly create reports from database to analyze donor retention and attrition. Use data to create segmented and/or individualized stewardship plans for donors to increase their commitment and gifts to the organization

Events Center

  • Coordinate a variety of mission-related activities in the Events Center to make it a vibrant, often-used community resource
  • Manage a usage calendar for the rental spaces, rental agreements and fee collection
  • Work with facilities staff to ensure the customers have what is promised in the rental agreements


  • Maintain a neat and professional personal appearance
  • Comply with all facility safety protocols
  • Assist in maintaining overall facility cleaning standards
  • Carry out other duties as assigned by supervisor


  • Indoors and outdoors, including in shelter environment with dogs, cats, pocket pets
  • Frequent interactions with children who may or may not be well-behaved, occasional contact with the public in an emotionally charged environment
  • Some evening and weekend hours will be required, based on events schedule
  • While animal handling is not generally required of this position, there will likely be regular contact with animals; while all adoptable animals have health and behavior screening, by nature of the industry, there may be occasional exposure to dead, injured, sick, unruly, vicious, and/or dangerous animals in addition to possible exposure to parasites and infectious diseases
  • May require driving of company vehicles. Must maintain a valid driver’s license and good driving record. Drivers information will be submitted to the carrier o
    • Regular use driving of company vehicles; employee’s must be at least the age of 18
    • Occasional use driving of company vehicles; employees under the age of 18 must be preapproved by the carrier
  • Work day includes walking, standing, sitting, bending, squatting, lifting (occasionally up to 50 lbs), answering telephones, and using a computer, work with a variety of cleaning agents, and work in an environment with daily changes in climate


Hours: Full Time position, 40 hours per week, with the ability to work scheduled days and some weekends and holidays. Final schedule to be determined with Supervisor based on organizational needs.  


Salary: $35,000 – $45,000, depending on experience, certifications, proficiency in job tasks, and ability to work cooperatively while fostering the mission of the organization.
